This policy explains what we do with your personal information when you contact CLH External Cleaning Services or use this website. We have tried to write it in plain English rather than legal jargon.

Who we are

CLH External Cleaning Services (“we”, “us”) is an external cleaning business operating in Huddersfield and the surrounding areas of West Yorkshire. We are the “data controller” for the information described below, which means we decide how and why it is used.

What information we collect

When you fill in our quote form we ask for your name, phone number, postcode, the service you need, and optionally your email address and any details you choose to type in the message box. All of these except the email address and message are required, simply because we cannot price a job or get back to you without them.

When you call, text, email or message us on Facebook we hold whatever information you give us in that conversation.

Automatically, when you visit this website, our hosting provider records standard technical information such as your IP address, browser type and the pages you looked at. This is generated by the web server itself and is used to keep the site running and secure.

Photographs of work we carry out. We photograph driveways, patios and other surfaces before and after cleaning, and we may use these on this website or our Facebook page. These photos show the surface, not people, and we do not publish addresses. If a photo of your property is on our site and you would rather it was not, just tell us and we will remove it.

Why we use it, and our lawful basis

Under UK GDPR we have to have a valid reason (a “lawful basis”) for using your information. Ours are:

  • To reply to your enquiry and give you a quote — this is necessary to take steps at your request before entering into a contract.
  • To carry out work you have booked, and to invoice you — performance of our contract with you.
  • To keep records of jobs and quotes, and to keep the website secure and working — our legitimate interests in running the business properly.
  • To meet tax and accounting obligations — compliance with a legal obligation.

We do not send marketing emails or newsletters, and we do not use your details to advertise to you.

Who we share it with

We do not sell your information to anyone, ever. We share it only with the suppliers who make the business work:

  • Our website and email host, who store the site and the enquiries sent through it.
  • Google (Gmail), where our enquiry emails are received and read.
  • Our accountant and HMRC, where invoices and tax records require it.

Some of these providers may process data outside the UK. Where that happens, it is done under the safeguards required by UK data protection law.

How long we keep it

  • Enquiries that do not become jobs: up to 12 months, then deleted.
  • Customer and job records: 6 years after the last job, because HMRC requires business records to be kept for that long.
  • Website server logs: as long as our host retains them, typically a few weeks.

Cookies

This website does not use advertising cookies, tracking pixels or analytics such as Google Analytics. We do not build a profile of you or follow you around the internet.

The only cookies that may be set are strictly necessary ones used by WordPress and by our enquiry form to make the form work correctly and to protect it from automated spam. Because these are strictly necessary, no consent banner is required for them under the Privacy and Electronic Communications Regulations. You can still block or delete cookies in your browser settings if you prefer, though the enquiry form may then stop working.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct anything that is wrong.
  • Ask us to delete your information, where we do not have a legal reason to keep it.
  • Ask us to restrict how we use it, or object to us using it.
  • Ask for your information in a portable, machine-readable format.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right. You also have the right to complain to the UK regulator, the Information Commissioner’s Office, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top.
